Systems analysis is a technology career focused on understanding how an organisation uses software, hardware, data and IT processes. Systems analysts look at existing systems, identify problems and help plan better solutions.

The role sits between business needs and technology. You may speak with users and managers, analyse current processes, work with developers and testers, document requirements and help make sure a new or improved system works as intended.

What Does a Systems Analyst Do?

A systems analyst studies how technology supports an organisation and looks for practical improvements. The exact work varies by employer, but common tasks include understanding client needs, reviewing existing systems, identifying problems, estimating project time and costs, working with technical teams, testing changes and documenting decisions.

You may work in an office, at a client’s workplace or from home. Some roles involve working with several teams because systems analysis connects business users with technical specialists.

Common Systems Analysis Roles

Junior Systems Analyst

Junior analysts support experienced colleagues with research, documentation, requirements gathering, testing and analysis. This can be a useful first step after study or another IT role.

Systems Analyst

Systems analysts investigate current technology and processes, identify improvements and help teams plan or implement new systems.

Business Systems Analyst

Business systems analysts often focus on how technology can support business processes and user requirements. The title can overlap with business analyst roles.

Senior Systems Analyst

Senior analysts take on more complex projects, work with stakeholders at a higher level and may guide junior analysts or contribute to technical decisions.

Systems Analyst vs Business Analyst

There is some overlap between these careers, and job titles are not always used consistently. A business analyst may focus more heavily on business processes, requirements, costs, benefits and organisational change. A systems analyst usually has a stronger focus on how software, hardware, applications and IT processes work together.

Some employers combine both areas in one role. Always read the actual job description rather than relying only on the job title.

Skills You Need for Systems Analysis

  • Systems analysis and development knowledge
  • Logical and analytical thinking
  • Problem-solving
  • Understanding of computer systems and applications
  • Attention to detail
  • Clear written and verbal communication
  • Teamwork and collaboration
  • Business awareness
  • Basic understanding of project management
  • Ability to adapt when requirements change

Technical Knowledge That Can Help

You do not need to be an expert programmer to work in systems analysis, but technical understanding is important. Useful areas include databases, SQL, APIs, operating systems, networking, cloud services, software development and cybersecurity.

It is also helpful to understand how requirements move through a development project, including design, development, testing, deployment and ongoing maintenance.

Do You Need a Degree?

A degree is one route into systems analysis, but it is not the only option. The UK National Careers Service lists university, apprenticeships and working towards the role as possible routes. Relevant subjects include computer science, information management systems, business information systems, software development and engineering, and maths or operational research.

The National Careers Service currently lists systems analyst salaries from about £34,000 for starters to £65,000 for experienced professionals. Actual pay can vary by location, employer, experience, industry and responsibilities.

Systems Analysis Apprenticeships in the UK

Apprenticeships can combine paid employment with structured training. The National Careers Service currently lists routes such as the Business Analyst Level 4 Higher Apprenticeship, Digital and Technology Solutions Level 6 Degree Apprenticeship, Systems Engineer Level 7 Apprenticeship and Digital and Technology Solutions Specialist Level 7 Degree Apprenticeship.

Entry requirements and available vacancies can change, so check the current official apprenticeship listing before applying.

Can You Become a Systems Analyst Without Experience?

Yes. The National Careers Service notes that people can work towards the role and move into systems analysis from positions such as assistant analyst, programmer or software developer.

Another practical route is to start in IT support, database administration, software development, testing or another technology role. These jobs can help you understand how systems work before moving into analysis.

Build Your Technical Foundation

Start with computer systems, databases, networking, software development basics and common business applications. You do not need to master everything at once.

Practise Requirements Analysis

Take a simple problem, such as improving an online booking system. Write down the users, their needs, current problems, possible requirements and questions that need answering.

Learn Process Mapping

Practise showing how a process works from beginning to end. Simple flowcharts can help you identify duplicated work, delays and missing steps.

Build Small Case Studies

Create two or three realistic case studies. Explain the existing problem, gather example requirements, map the current process, suggest a solution and describe how you would test it.

Tools and Methods Worth Knowing

The tools depend on the employer, but systems analysts may work with diagramming software, spreadsheets, databases, requirements tools, project management platforms and documentation systems.

It is also useful to understand Agile ways of working. The National Careers Service specifically notes that knowledge of Agile project management methods can be helpful for this career.

How to Build a Systems Analyst Portfolio

A portfolio can demonstrate your thinking even if you have no professional systems analysis experience. Include practical examples rather than a collection of certificates.

  • A process map showing how a system or service works
  • A requirements document for a fictional project
  • A before-and-after process improvement case study
  • A simple data or database analysis
  • A system proposal explaining options, risks and expected benefits

For every project, explain the problem, your assumptions, the information you considered and why you recommended a particular approach.

How to Write a CV for a Systems Analyst Job

Focus your CV on evidence of analysis, technology knowledge and communication. Mention relevant projects, work experience, education and technical skills.

Instead of only saying that you have problem-solving skills, give a short example showing how you identified a problem, analysed information or improved a process.

Preparing for a Systems Analyst Interview

Interviewers may ask you to analyse a business problem, explain how you would gather requirements or describe a previous project. You could also be asked about databases, software development, Agile methods, testing or system design.

Practise asking good questions before proposing a solution. A strong analyst needs to understand the problem and users before deciding what technology should be changed.

Career Progression in Systems Analysis

With experience, you could become a senior systems analyst or move towards strategic and technical roles. The National Careers Service lists progression into technical or enterprise architecture, specialist areas such as cloud computing or AI programming, and contractor or freelance consulting work.

Systems analysis can also provide useful experience for careers connected with business analysis, project management, solution architecture, product development and technology consulting.

Is Systems Analysis Right for You?

Systems analysis may suit you if you enjoy understanding how things work, solving problems and communicating with different types of people. The work is not only technical. You also need to understand business needs, ask questions, document information clearly and explain possible solutions.

If you like technology but do not want every day to be focused on writing code, systems analysis is one career path worth considering.

Final Thoughts

A career in systems analysis can be built through several routes in the UK. A relevant degree or apprenticeship can provide structured training, while experience in software development, IT support, database administration or related technology work can also help you move towards the role.

Build a solid understanding of IT systems, practise requirements and process analysis, create a small portfolio and develop your communication skills. These foundations can help you compete for junior and entry-level opportunities and prepare for more senior systems work later.
